Coordinate activities between different departments, handle communication, complaints and referrals.
Log communications, send correspondence, and follow strict privacy guidelines to respect the privacy of patients and their families.
Strong communication skills are important to be able to solve inquiries and relay concerns to the appropriate channels.
Report progress to the Front Office Coordinator.
Responsibilities & Duties Primary responsibility for the integrity and management of the electronic medical record Controls record filing (paper) or indexing (electronic) May manage paper faxes and messages by attaching to charts and delivering to providers Greets patients and visitors to the practice Registers patients in the practice management system which may mean entering information given verbally or on registration forms Collects identification and insurance cards and copies or scans them for the record, may photograph the patient for the record Collects co-pays or other monies Prints encounter form with updated information, or updates information on the encounter form Has patient sign financial agreement, receipt of privacy policy, benefits assignment, etc.
Communicate the arrival of a patient and their needs to the clinical staff, as well as notifying the providers of any changes/anticipated issues with the daily schedule Promptly answer phones with a smile, and communicate with patients in a courteous manner, using recommended verbiage to take messages and make appointments Respond to patient appointment requests as quickly as possible and schedule all appointments in accordance to practice guidelines Be present, engaged and ready to work at all assigned shift times Takes monies owed, posts monies and produces a receipt for the patient Tells patient if any additional monies are owed if co-pay was collected at check-in Makes return appointment for the patient if needed, or enters recall into the practice management system Directs visitors (drug reps, salespersons, etc.
) appropriately Follows complex scheduling policies and procedures in order to ensure all patients are scheduled correctly Complete checklists as assigned and participate in department huddles to ensure that every single day flows smoothly Able to communicate relevant information to direct supervisor daily Able to adhere to all company policies and procedures Demonstrate and influence a culture of good teamwork to deliver an extraordinary experience for every patient Provide exceptional customer service by making the patient the #1 priority Maintain patient confidentiality through HIPAA compliance Qualifications & Skills Minimum of high school diploma or equivalent required Minimum of 4 years of related experience Experience in a professional environment with direct patient contact preferred Attention to detail Common Sense Communications Computer literate Dedication Leadership Multitasking Organization Phone etiquette Professional Email etiquette Punctuality Quick Thinking Ability to work independently and with a team Reliable transportation Professional Attire Basic Knowledge of Electronic medical records Basic Knowledge of Microsoft Office and Microsoft Excel Excellent positive attitude and customer service skills Professionalism and integrity in all aspects of the job, including image and both verbal and written communication skills Possess exceptional interpersonal and relationship building skills, including conflict resolution skills Strong organization, planning and analytical skills Ability to multi-task and remain calm in a rapidly changing environment Computer proficiency and the ability to learn programs as required Job Type:
